1. Who We Are

TeeMates is operated by Cognalith Labs Inc., a corporation incorporated under the laws of Alberta, Canada, with its principal place of business in Calgary, Alberta.

This Privacy Policy applies to the TeeMates mobile application (iOS) and the website teemates.ca (collectively, the "Service"). It describes how we collect, use, disclose, and protect your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), the Personal Information Protection Act (PIPA) of Alberta, and applicable provincial privacy legislation.

By using TeeMates, you consent to the practices described in this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

We collect six categories of information when you use TeeMates:

Location Data Details

We request access to your device location to show you nearby golfers and golf courses. You may grant "while using the app" or "precise" location access. You can revoke location permission at any time in your device Settings — doing so will limit location-based features but will not prevent you from using the app.

Information We Do Not Collect

• We do not collect payment card numbers or financial information (purchases handled by Apple App Store)
• We do not collect contacts, calendar, or microphone data
• We do not collect biometric data
• We do not use third-party advertising networks

3. How We Use Your Information

To Provide the Service

• Create and manage your account
• Match you with other golfers and display nearby tee times
• Enable squad creation, messaging, and booking coordination
• Send push notifications for bookings, messages, and match requests

To Improve the Service

• Analyze feature usage to prioritize improvements
• Diagnose and fix bugs and crashes
• Measure performance and app stability

To Communicate With You

• Send transactional emails (booking confirmations, password resets)
• Respond to support requests
• Notify you of material changes to this policy

Legal Basis

Under PIPEDA, our legal basis for processing is your consent (given at account creation and at permission prompts) and our legitimate interest in providing and improving a safe, functional golf coordination platform.

4. How We Share Your Information

With Other Users (by Design)

TeeMates is a social platform. Information you post publicly — such as tee time listings, your profile name, handicap, and home course — is visible to other app users. Squad messages are private to squad members only.

With Service Providers

We share information with trusted vendors who process it solely on our behalf:

Legal Disclosures

We may disclose personal information if required by law, court order, or to protect the rights, safety, and property of Cognalith Labs Inc., our users, or the public.

Cross-Border Data Transfers

Some of our service providers — including Supabase (AWS), PostHog, Sentry, and Apple — store or process personal information in the United States. When your information is transferred to or accessed from the United States, it may be subject to the laws of the United States, including laws that allow U.S. authorities and courts to access personal information under certain circumstances. By using TeeMates, you acknowledge that your personal information may be stored or processed outside Canada, as described in this section. If you have questions about how your information is handled by foreign service providers, please contact our Privacy Officer at privacy@teemates.ca.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or in-app notice before your information becomes subject to a different privacy policy.

5. Analytics & Diagnostics

PostHog Analytics

We use PostHog to understand how users interact with TeeMates. PostHog collects pseudonymous usage data — it does not receive your name or email address. Data is used exclusively to improve the app. You can opt out of analytics by contacting us at privacy@teemates.ca.

Sentry Error Monitoring

We use Sentry to capture crash reports and performance issues. Sentry may collect device type, OS version, app version, and a stack trace when an error occurs. It does not collect your name or email. This data is used solely for bug diagnosis and is retained for 90 days.

No Advertising Trackers

TeeMates does not use Facebook Pixel, Google Ads, or any third-party advertising tracking technology. We do not build advertising profiles.

6. Data Retention

After account deletion, we may retain minimal records — such as Apple App Store purchase receipt metadata or subscription status — as required by applicable law or for legitimate business purposes (such as fraud prevention or financial record-keeping). These records contain no payment card numbers or bank details (purchases are processed by Apple App Store). Retained records will not be used to contact you.

7. Your Rights (PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act, you have the following rights regarding your personal information:

Right to Access

You may request a copy of the personal information we hold about you. We will respond within 30 days.

Right to Correction

You may request that we correct inaccurate or incomplete information. Most account data can be edited directly in your app profile settings.

Right to Withdrawal of Consent

You may withdraw consent for certain processing activities (such as analytics) at any time. Note that withdrawing consent for core service data will require account deletion.

Right to Deletion

You may request deletion of your account and associated personal data at any time. See the deletion instructions in our Support page or email us at privacy@teemates.ca. Deletion is processed within 30 days.

Right to Complain

If you believe your privacy rights have been violated, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.

8. Children's Privacy

TeeMates is intended for users aged 18 and older. We do not knowingly collect personal information from anyone under 18. If you are under 18, please do not use the app or provide any information to us.

If you are a parent or guardian and believe your child has provided us with personal information, please contact us at privacy@teemates.ca and we will promptly delete the information and terminate the account, as required by Alberta's Personal Information Protection Act (PIPA) and applicable federal law.

9. Security

We take reasonable technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These measures include:

• TLS/HTTPS encryption for all data in transit
• Encrypted storage for sensitive data at rest
• Row-level security policies on our database
• Authentication tokens with short expiry and secure refresh
• Access controls limiting employee access to personal data

No method of transmission over the Internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a breach that poses a significant risk, we will notify affected users and the Office of the Privacy Commissioner as required by law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will:

• Update the "Effective Date" at the top of this page
• Display an in-app notice for material changes
• Send an email notification to registered users

Continued use of TeeMates after changes take effect constitutes your acceptance of the revised policy. If you disagree with the updated policy, you should stop using the Service and may request account deletion.
